About the Trustifi Archive

Overview

Trustifi's Archive module stores a complete, tamper-proof copy of all inbound and outbound email traffic for your organization. It is designed for long-term retention, compliance, and e-discovery, allowing administrators to search, review, export, and securely share emails as needed.

Archiving runs continuously in the background once enabled. Emails are captured at the moment they pass through Trustifi's systems, ensuring that even if a user deletes mail from their mailbox, a preserved copy remains available in Archive.


What Archive Provides

Centralized, long-term email retention

Every email that flows into or out of your environment is automatically stored in a secure, encrypted archive. Retention duration depends on your organization's policies and regulatory requirements.

Powerful search and investigation tools

Admins and reviewers can create searchable "cases" using multiple filters including sender, recipient, subject, keywords in body, attachment names, date range, and more. Cases can be saved, reopened, edited, and exported.

Full email reconstruction

Each archived item includes:

  • Message body

  • Attachments

  • Metadata and headers

  • Security analysis results (if applicable)

  • Tracking information (if the message was sent via Trustifi’s outbound services)

This allows accurate reproduction of the message for audit or investigative purposes.

Secure sharing for external review

Cases can be shared with third parties such as auditors, legal teams, or external investigators through a protected review portal. Access can be time-limited and requires authentication.

Compliance support

Archive is designed to support common regulatory frameworks by preserving messages in an immutable format. It assists organizations subject to requirements around retention, auditability, and disclosure.


How Archive Works in Trustifi

When Archive is enabled for your tenant:

  1. Every inbound and outbound email processed by Trustifi is written into the archive storage.

  2. Messages become available in the Archive dashboard within minutes of delivery.

  3. Administrators and reviewers with archive permissions can search, inspect, download, or share messages.

  4. Deleted or modified messages in user mailboxes do not affect the archived copy.

Integration with Other Trustifi Modules

Archive integrates with other Trustifi features:

  • Inbound Shield: Emails flagged by Inbound Shield show their threat analysis when opened in Archive

  • Outbound Encryption: Encrypted or tracked messages display their tracking and timeline data

  • Compliance Scanning: Archive cases can search emails by regulatory compliance as detected by Trustifi's sensitivity scan engines


Prerequisites and Activation

Archive is not enabled by default. Activation requires:

  • A Trustifi plan that includes archiving

  • Tenant-level enablement by the Trustifi support team

  • Admin permissions for users who will access the Archive dashboard

After activation, no additional configuration is needed. Archiving begins automatically.
